This privacy policy explains how Duende Solutions, trading as The Collective ("we", "us"), collects and uses personal data when you visit this website or interact with us. We are the data controller for the processing described below.

We take your privacy seriously and process personal data in accordance with the EU General Data Protection Regulation (GDPR) and Dutch data protection law.

1. What data we collect and why

‍ ‍

Free reports and downloads. When you request one of our free reports, we collect your email address [and name] so we can send you the report. Legal basis: steps taken at your request. We will not add you to any mailing list without your separate consent.

‍ ‍

Podcast guest applications. When you apply to appear on the Connecting the Dots podcast, we collect your name, email address, information about yourself and your company, and your proposed topic. We use this to assess your application and, if selected, to plan and produce the episode. Legal basis: steps taken at your request, and contract if you are selected. If you appear on the podcast, your name, biography, photo, and the recording are published as part of the episode, with your consent.

Press release submissions. When you submit a press release through our press release hub, we collect your name, email address, company details, and the content you submit. We use this to review, publish, and distribute your submission. Legal basis: steps taken at your request.

Speaker booking enquiries. When you contact us to book one of our partners as a speaker, we collect your name, email address, organisation, and event details so we can respond and arrange the engagement. Legal basis: steps taken at your request prior to entering a contract.

Website analytics. We use Google Analytics to understand how visitors use our website. See section 6 (Cookies) below.

We do not sell personal data, and we do not use personal data for automated decision-making or profiling with legal effects.

2. Who we share data with

‍ ‍

We use trusted service providers (processors) to run our business. They process data on our behalf under data processing agreements. These include:

  • Squarespace (website hosting and forms)

  • Google Workspace (email, documents, storage)

  • Google Analytics (website statistics)

  • Canva (design)

  • Riverside (podcast recording)

  • Heyzine (digital publications)

  • Spotify (embedded podcast player, see section 6)

We may also disclose data where required by law.

3. International transfers

‍ ‍

Some of our service providers are based outside the European Economic Area, primarily in the United States. Where data is transferred outside the EEA, we rely on appropriate safeguards such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses.

4. How long we keep data

‍ ‍

We keep personal data only as long as needed for the purposes described above:

  • Enquiries and speaker bookings: up to 12 months after our last contact

  • Free report requests: up to 12 months after delivery

  • Podcast applications: up to 12 months; published episode materials remain online as part of the show

  • Press release submissions: for as long as the content remains published

  • Client and contributor records: for the duration of our working relationship plus the retention periods required by Dutch tax law (generally 7 years for financial records)

  • Analytics data: 14 months

5. Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you

  • Have inaccurate data corrected

  • Have your data deleted

  • Restrict or object to processing

  • Receive your data in a portable format

  • Withdraw consent at any time, without affecting prior processing

You also have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

6. Cookies

‍ ‍This website uses:

  • Functional cookies that are necessary for the site to work, placed by Squarespace. These do not require consent.

  • Analytics cookies placed by Google Analytics to measure site usage. These are only placed after you accept them via the cookie banner. You can change your choice at any time via the cookie settings on this site.

  • Embedded content. Some pages embed our podcast player from Spotify. When you interact with the player, Spotify may place its own cookies and process your data under Spotify's privacy policy.
